Title: Manager of Special Events
Reports to: Senior Vice President of Development
The Manager of Special Events is responsible for two major areas: 1) planning, organizing, and executing all special events for the McCallum Theatre and 2) overseeing/coordinating the women's auxiliary group, the Muses. The ideal candidate will be engaging, resourceful and resilient with the ability to organize and execute exceptional fundraising, stewardship and cultivation events for donors and prospects. The incumbent will ensure events are successful and cost-effective, paying attention to budget and time constraints.
The event manager is, above all, a project manager who understands marketing and promotion techniques. We are seeking an enthusiastic candidate with fresh ideas and the organizational skills required to not leave anything about an event to chance.
As a member of the nine-person Development Team, a role of the Manager of Special Events is to work in collaboration with the Development team, liaise with senior administration, Board members, donors, prospects and committee members.
Plan, coordinate, execute, promote and manage all aspects of small and large-scale special events including receptions and annual galas, from start to finish Prepare sponsorship and other fundraising strategies and proposals and for events Source and negotiate with vendors and suppliers Lead, generate and execute promotional activities for events Supervise all staff (event coordinators, caterers, waiters, etc.) Develop, prepare, manage and monitor special events and Muse budgets assuring adherence and paying attention to time constraints Ensure events are completed smoothly and set up to resolve any problems that may arise Analyze the event's success and prepare reports Attend and manage events, such as Founder's dinners, donor receptions and Muses activities. Interact professionally with donors, volunteers, and the community Attend all Muse Board meetings Directly supervise one Development staff
Personal and Professional Qualifications
Applicant MUST meet the following essential minimum qualifications plus have at least four years of related experience. These are not intended as an exhaustive list of all professional and personal qualifications.
Proven professional experience and expert knowledge of event management and planning, preferably in a non-profit environment Demonstrated proactive approach in managing, planning, coordinating, executing and creatively promoting special events managing multiple projects simultaneously Excellent ability to set priorities and plan long-term Computer savvy; proficient in MS Office and Raiser's Edge preferred, specifically the Events Module. Strong technical and digital communication capabilities, a requirement. Skilled in Project Management A collaborative team player with leadership skills Customer-service orientation Exceptionally well-organized and a proven track record of being detail oriented. Knowledge of KPIs and marketing techniques for event management Strong command of the written word, as well as capability to edit and proofread
Ability to work in a fast-paced, seasonally driven environment
Must be adept at problem-solving and demonstrate outstanding interpersonal skills, judgment and discretion
A bachelor's degree from an accredited institution of higher education is required
