Operations Manager

Responsibilities include but are not limited to:



  • Screen, train, hire and schedule volunteers
  • Maintain accurate records of forms (applications, waivers, etc.)
  • Keep the DBFC Volunteer Handbook up to date
  • Provide leadership to volunteers in developing a sense of camaraderie, teamwork and sense of belonging
  • Manage issues in a timely manner
  • Scheduling and training of volunteers to ensure all shifts are adequately staffed 




  • Oversight of general office space, client rooms, bathroom and Boutique; ensure all areas are clean, organized and presentable
  • Oversee/troubleshoot office problems/issues, managing inventory and assessing inventory and client needs
  • Oversight of sorting and incoming donations; managing donations and donation distributions;
  • Participate in developing budget for facilities; operate within budgeted expenses for fiscal year

Daily operations:

  • Oversight of forms and office supplies; ensure forms are available and are placed in a timely manner
  • Ensure billing of agencies is completed in a timely manner; ensure bills are paid in a timely manner
  • Willingness to work shifts and fill in where needed when short staffed



  • Responsible for the oversight of all donor and client data collection/data entry; ensure accuracy/confidentiality of all donor and client information



  • Track monthly, quarterly and annual data and prepare all grant reports
  • Track grant expenditures


  • Assist with details around special events ticket sales, table seating, staffing of volunteers
  • Managing and supervising volunteers on the day of the event



  • Responsible for collecting all incoming bills/donations and bringing to the attention of the Executive Director
  • Billing of agencies and tracking bills
  • Managing Boutique including deposits, cash management
  • Provide accurate monthly financial reports to the Executive Director, including accounts payables and receivables


Other tasks, projects and responsibilities as requested by the Executive Director and/or the Director of Development and Programs



The Operations Manager reports directly to the Executive Director



The Operations Director position is Full Time. Desert Best Friend’s Closet hours of operation are Monday –Friday; Summer hours are Monday  - Thursday; our Boutique is open 9am – 1pm on “Second Saturdays” of the month; ability to work flexible hours including periodic evenings and the occasional weekend are required; specific hours will be determined based on organizational needs.



  • Professional phone manner with friendly, helpful, customer service demeanor
  • Strong interpersonal communication skills (written and verbal); desire to work collaboratively with staff, volunteers, donors and clients a must
  • Ability to prioritize and accomplish a variety of tasks, projects and responsibilities simultaneously in a busy work environment
  • Ability to follow directions closely, work independently and follow up on work assignments
  • Ability to work flexible hours including periodic evenings and the occasional weekend
  • Desire and ability to work with diverse populations
  • Understanding of and ability to maintain professional boundaries
  • Proficiency with MS Office required, strong data entry skills, QuickBooks


$15 per hour
